This guide explains how to set up and use EliteApps. It highlights the key setup tables and pages relevant to EliteApps, mentions functionality available for different record types and provides an overview how to complete a task in the application.
Key Setup Areas
EliteApps V2 Setup
The EliteApps V2 Setup page is the main configuration area for EliteApps. From here, you can:
Enter URL and Client ID details to connect your Elite Apps environment.
Define a job status code for when maintenance jobs are completed.
Configure site task sync status that is used when completed.
Setup Sync Error email recipient.
View records scheduled and sent to the app (refreshed daily via the pull queue).
Check users and teams, assign relevant resource numbers.

Job Queues
Two job queues are automatically created as part of the setup:
9086270 ∙ EPW E.Apps V2 Push Sync Handl. – Sends records from EliteParks to the app.
9086271 ∙ EPW E.Apps V2 Pull Sync Handl. – Brings updates from the app back into Elite if they have not been synced, clears completed tasks from the application and refreshes the sync records list in v2 setup.
Both job queues must be enabled and running to ensure data syncs correctly.

Job Status Codes
For both Housekeeping and Maintenance, Job Status Codes can be used to update the status of the job within Elite via EliteApps, this is actioned with the ‘Update Status’ button on these task types.
Houskeeping Management Setup - In here you can enable and determine the default codes for your housekeeping tasks.

Optional Setup – EliteRequests
EliteRequests can be configured for use within EliteApps. EliteRequests can be used to log additional actions from jobs you’ve been assigned, you can even leverage auto-convertion of requests to start new tasks such as maintenance jobs or housekeeping activities.
Setup Steps
Open ‘EliteRequest Setup’
To start using EliteRequests you need to configure the following:
Create default reason codes (e.g. created, resolved) and assign them.
Create and assign a number series.
Head to ‘EliteRequest Types’:
Create a request type to use via EliteApps
Specifiy which areas they apply to (e.g. maintenance jobs, inspections)
This allows users to raise requests directly from the app, linked to specific record types.

App Permissions Setup
Tile visibility permissions are managed within the ‘Elite Site Operations’ app, which is accessible in the Power Apps list view (ensure you look at ‘All’ apps).
To configure these permissions:
With Site Operations open, head to Users.
Select a User you want to configure the view for.
Navigate to App Permissions on the ribbon of the user record.
Select ‘Add Existing Menus’ and choose the appropriate menus for this user.
Users will only see the corresponding tiles in the app based on these permissions.

EliteComments allow you to:
Add multiple comments in areas like meter readings where previously you were unable to.
Attach multiple images to each comment.
These comments sync between the app and Elite as they are recorded.

Syncing Records
Automatic Sync
Records are automatically scheduled for the sync when they are created.
They are sent when the push job queue runs (the default run time is every 15 minutes, this can be adjusted).
Manual Sync Options
Use ‘Send to EliteApps’ to sync immediately to EliteApps.
Trigger the Push job queue manually, from the job queue card.

Wait for scheduled sync
Use ‘Send to EliteApps’ to push immediately
The same process applies across all the record types.
Using the App
Home Screen
From the app home screen, there is a 3 bar menu which includes:
A sync button - this is used when operating the app without connection to sync detail back to Elite manually.
Option to create requests - these requests will not be linked with a specific record.
Language settings - you can amend language settings from here if required.
It is important to note visible tiles are based on user permissions from the application (See ‘App Permissions Setup’)

Tile Views
Within each tile, records are grouped into:
To Do – Items with a due date of today or earlier.
Next 7 Days – Upcoming work dated with a due date within the next 7 days.
Completed – Recently completed task items from the app (this clears daily with the pull queue).
All – All records
High Priority (Maintenance Jobs only) – High priority-based jobs.

Completing a Maintenance Job
Steps
Open the Maintenance Jobs tile.
Select the ‘To Do’, to view jobs that need completing today.
Scroll the list and open up a job card.
From the job screen, you can:
Add comments and images by clicking on the small comment Icon.

Key Actions
Log Time
Start/stop timer.
Creates timelog entries in Elite (available function on Maintenance, Housekeeping and Services).
Update Status
Select from available maintenance statuses (this action is available only on Maintenance and Housekeeping tasks).
Complete Job
Marks the job as completed within the application.
Moves it to the Completed tile, which can still be accessed and viewed.
Syncs status back to the system and updates the status in accordance with your configuration.

Other Record Types
Housekeeping
Can include a task list.
Tasks must be completed before the job can be finished.
Inspections
Includes a Quick Pass option available from the list view.
Automatically completes the inspection using predefined settings.
No need to manually complete task lists when using Quick Pass.
Services
Can include a task list.
Tasks must be completed before the job can be finished.
Meter Readings
Will calculate your meter movement once your read is entered.
Allowing you to resubmit your reading if entered incorrectly.
Safety Tests
Will prompt you for test dates.
Will require certificate no. to be added.
Site Tasks
No additional functionality, outside of completing the record.
