Control Lifecycle of Report Layouts

Enhancement Overview

Microsoft have introduced enhanced control over report layouts by allowing you to manage their lifecycle through defined statuses.

This ensures that only approved report layouts are made available to users, helping reduce errors and maintain consistency across reporting. By introducing clear stages in the lifecycle, organisations can improve governance, streamline approvals and ensure that layouts meet internal standards before being used.

How It Works

This functionality is available within the Report Layouts area in Business Central.

You can now assign a status to each report layout to control its availability:

  • Draft – The layout is still being developed and is not available to users

  • Pending Approval – The layout is awaiting review and approval

  • Approved – The layout is approved and available for use

  • Retired – The layout is no longer in use and is hidden from users

Only layouts marked as Approved are available for users to select when running reports.

Why Is It Useful?

This enhancement helps you manage report layouts in a more controlled and structured way.

By introducing lifecycle stages, it prevents unfinished or outdated layouts from being used, while supporting internal approval processes. This improves reporting accuracy, ensures consistency across documents and reduces the risk of users selecting incorrect layouts.
