Important Note:

This will only affect systems upgrading from a version prior to 25.0.

Systems created on version 25.0 will not have access to user groups on implementation.

Microsoft Dynamics Business Central Version 25: Important Changes to Permission Management

In Microsoft Business Central 2024 Wave 2, User Groups have been phased out in favour of using Permission Sets and a new feature called Security Groups to manage permissions. This shift will streamline permission management and align with future updates. To find out more about Security Groups visit our article here.


What This Means for You

  • If you're currently using User Groups, your users will retain their existing permissions after the update. Microsoft will automatically add the relevant permissions from your User Groups directly to each user, ensuring no access is lost.

  • Microsoft has also introduced a new feature that enables you to convert existing User Groups into Permission Sets. This provides a similar approach to your current setup, allowing you to continue managing permissions in a familiar way.

    • During the conversion, a new Permission Set will be created for each User Group, maintaining the same permissions under the Permission Sets section on the new Permission Set card.

To make the transition smoother, we recommend using the conversion feature before the update. By converting your User Groups into Permission Sets, you can ensure a seamless transition and continue managing permissions in a way similar to User Groups.

Process Steps

Below you can access process steps to convert these user groups ahead of time:

A system Super User will be required to complete this process.

Once this action has been run, you cannot revert the changes.

  1. Navigate to ‘Feature Management’.

  2. In the list view that appears, there is a line for ‘Feature: Convert user group Permissions’ (highlighted in Blue below):

  3. In the ‘Enabled for’ field, change none, to “All Users” (highlighted in Green above).

  4. A resulting window will pop up asking you to run the User Group conversion guide.

  5. Select ‘Yes’.

  6. You will need to agree to the terms using the toggle at the bottom of the view and select ‘Next’.

  7. The next list view will have your active user groups listed:  

  8. On each ‘User Group Code’ line, change the ‘Action’ column to “Covert to a Permission Set”. This will be an option on the dropdown.

  9. Select ‘Next’.

  10. The action will complete or provide any errors with the conversion, finally select ‘Finish’.
